Log In and Access Your Dashboard
Your first step is logging in and getting familiar with what you see. Here's exactly what to do and what to expect.
- Open your browser and go to app.jtek.pro — Use Chrome or Safari for the best experience. Bookmark this URL so you can get back quickly every day.
- Enter your email address — Use the email address that Jtek was set up under. If you're unsure which email was used, check your welcome email from Jtek.
- Enter your password and click Sign In — If this is your first time logging in, you may have received a temporary password via email. Use that to log in, then change it right away in Settings.
- Review the dashboard home screen — On first login you'll see your main dashboard with stat cards at the top (new leads, open conversations, booked appointments) and quick-access shortcuts. Don't worry about customizing anything yet — just get your bearings.
- Confirm you can navigate the left sidebar — Click through Dashboard, Contacts, Conversations, and Opportunities to make sure your account is loading correctly. If anything looks blank, that's normal — you haven't added data yet.
Complete Your Business Profile
Your business profile powers how Jtek identifies you in emails, SMS messages, and call records. Fill it out completely before doing anything else.
- Go to Settings in the left sidebar — Click the gear icon at the bottom of the navigation. This opens the main Settings area.
- Select "Business Info" from the settings menu — You'll see fields for your business name, address, phone number, website URL, and time zone. Fill each one in accurately.
- Enter your full legal business name — This name appears on automated emails and SMS messages sent to your leads. Use the name your clients would recognize (e.g., "Riverside Realty Group").
- Upload your logo — Click the logo upload area, select a PNG or JPG file (recommended size: 400x400px or larger), and confirm. Your logo appears in email headers sent from Jtek.
- Set your time zone correctly — This is critical. Jtek schedules automations, reminders, and calendar appointments based on your time zone. Select the correct one from the dropdown before saving.
- Click Save — Look for a green confirmation banner at the top of the page. If you see an error, check that all required fields (marked with *) are filled in.
Connect Your Phone Number
Jtek gives you a dedicated local phone number for calls and SMS. All outbound messages to leads come from this number, and all replies come back into Jtek.
- Go to Settings > Phone Numbers — In the left sidebar, click Settings, then find "Phone Numbers" in the submenu.
- Click "Add Number" — A modal will appear asking for your preferred area code. Enter a local area code that matches your market (e.g., 512 for Austin, TX).
- Select a number from the list — Jtek will show you available local numbers. Pick one and click Confirm. The number is yours instantly.
- Set up your voicemail greeting — Scroll to the Voicemail section and click "Record Greeting." You can record directly in the browser or upload an MP3. Keep it professional and under 20 seconds.
- Test your number by sending yourself a text — From Conversations, start a new message to your personal phone from your Jtek number. Confirm it arrives and replies come back into Jtek.
Import Your First Contacts
Bring your existing leads and past clients into Jtek with a CSV import. You can import from any spreadsheet or old CRM that supports CSV export.
- Export your contacts from your current tool — In your old CRM, Excel, or Google Sheets, export your contacts as a CSV file. Make sure each row has at minimum a first name, last name, and either an email address or phone number.
- Clean up the CSV before importing — Remove any duplicate rows and make sure phone numbers are in a consistent format (e.g., 5125550192 or (512) 555-0192). Jtek handles formatting automatically but consistent data imports cleaner.
- Go to Contacts in Jtek and click "Import" — The Import button is in the top right of the Contacts page. Click it and select your CSV file from your computer.
- Map your columns to Jtek fields — Jtek will show you a column mapping screen. Match each column in your CSV (like "First Name", "Phone", "Email") to the correct Jtek field. Take your time here — incorrect mapping creates messy data.
- Add a tag to all imported contacts — On the final confirmation screen, there's an option to add a tag to all contacts being imported. Use something like "Imported 2026-03" so you can identify this batch later.
- Click Confirm and monitor the import progress — Large imports may take a minute. When done, Jtek will show you a summary: how many contacts were added, how many were skipped (duplicates), and if any had errors.
Set Up Your First Pipeline
A pipeline tracks where each lead is in your sales process. Set up your stages to match how you actually work deals from first contact to closed.
- Go to Opportunities in the left sidebar — Click the Opportunities icon (it looks like a funnel). If you've never been here before, the board will be empty.
- Click "Add Pipeline" — In the top area, look for a pipeline selector dropdown and click "Add Pipeline." Give it a name like "Buyer Leads" or "Listing Pipeline."
- Add your pipeline stages — Click "+ Add Stage" to create each stage one at a time. For a standard real estate pipeline, use: New Lead → Contacted → Appointment Set → Under Contract → Closed Won. Add a "Lost / Dead" stage at the end as well.
- Set the probability for each stage — Jtek uses probability percentages to calculate your pipeline value. Set New Lead to 10%, Contacted to 20%, Appointment Set to 50%, Under Contract to 80%, Closed to 100%. Adjust based on your own close ratios.
- Save your pipeline — Click Save. Your pipeline will now appear as a Kanban board. You can drag and drop opportunities between stages as leads progress.
- Create your first opportunity — Click "+ Add Opportunity," enter the contact's name and expected deal value, and assign them to a stage. This is the start of your tracked pipeline.
