Prepare Your CSV File
Before uploading, your spreadsheet needs to be formatted correctly so Jtek can read it. A little prep work here saves a lot of trouble during the import.
- Open your spreadsheet in Excel, Google Sheets, or Numbers.
- Add a header row as the very first row. Each column needs a label: First Name, Last Name, Email, Phone, Tags.
- Format phone numbers as 10 digits with no dashes or spaces — example:
5125559821. Jtek will apply formatting automatically. - For Tags, use a single column and separate multiple tags with a semicolon — example:
Buyer;Hot Lead. - Remove any merged cells, blank header rows, or extra sheets. Jtek reads only the first sheet.
- Delete columns you do not need — extra columns can cause mapping confusion during the next step.
- Save the file as CSV (File → Download → Comma Separated Values in Google Sheets, or Save As → CSV in Excel).
- Open the saved CSV in a text editor and verify the first row looks like:
First Name,Last Name,Email,Phone,Tags.
| First Name | Last Name | Phone | Tags | |
|---|---|---|---|---|
| Maria | Santos | maria@email.com | 5125550101 | Buyer;Hot Lead |
| James | Rivera | james.r@email.com | 5125550182 | Seller |
| Dana | Kim | dana.kim@email.com | 5125550294 | Buyer;Past Client |
| Tyler | Walsh | twalsh@email.com | 5125550376 | Cold Lead |
| Priya | Nair | priya.n@email.com | 5125550418 | Seller;Referral |
Upload Your CSV to Jtek
Once your file is ready, the upload process takes less than a minute. Here is exactly where to go and what to click.
- Log in to Jtek and click Contacts in the left sidebar.
- Click the Import button in the top right corner of the contacts page — it is next to "+ Add Contact".
- Select "Import from CSV" from the dropdown menu that appears.
- Click "Choose File" or drag your CSV file into the upload zone.
- Wait for the file to upload. You will see a progress bar. Large files with thousands of contacts may take 10–20 seconds.
- The import preview screen will appear once the upload is complete. Do not close this tab — the next step (column mapping) happens here.
Map Your Columns
Column mapping tells Jtek which column in your spreadsheet corresponds to which field in your contact record. Jtek will try to match them automatically — review each one before proceeding.
- Review the mapping table. Your CSV column headers appear on the left, and Jtek field names are on the right.
- Check each row. If Jtek matched "First Name" → First Name and "Email" → Email, those are correct.
- Fix any mismatches by clicking the dropdown on the right and selecting the correct Jtek field.
- For custom fields (fields you created in Settings → Custom Fields), scroll to the bottom of the dropdown and select them there.
- For unmapped columns you want to skip, select "Do Not Import" from the dropdown. Jtek will ignore that column entirely.
- Make sure Phone is mapped correctly — phone number formatting depends on it being recognized as a phone field.
- Tags column: Map it to "Tags" and Jtek will create any new tags automatically if they do not already exist.
Review and Confirm the Import
Before Jtek processes your import, you will see a summary screen. Take 30 seconds to check it — errors caught here are much easier to fix than after the import runs.
- Check the contact count at the top — it should match the number of rows in your CSV (minus the header row).
- Look for any error rows. Jtek will flag rows with invalid emails, missing required fields, or duplicate phone numbers.
- Click "View Errors" to see which rows have problems. You can download a report to fix them in your spreadsheet and re-import those rows.
- Check the "Duplicates" count. If Jtek finds contacts with the same email or phone already in your account, it will show how many it plans to skip or merge.
- Select your duplicate handling preference: Skip duplicates (safe) or Update existing contacts with new data.
- Click the "Import" button at the bottom of the review screen to start the import.
- A success screen will appear showing how many contacts were created, updated, or skipped. You can also download the import report from here.
Find Your Imported Contacts
After the import completes, your contacts appear in your main contact list. Here is how to find them and take action right away.
- Go to Contacts in the sidebar. Your newly imported contacts are already here — no refresh needed.
- Filter by import date by clicking the Filter button → Date Created → Today (or the date you ran the import). This isolates only your freshly imported contacts.
- Bulk tag your imported contacts by selecting all (checkbox in the header row), then clicking Bulk Actions → Add Tag. Add a tag like "CSV Import March 2026" so you can always find this batch later.
- Click any contact to open their record and verify the data looks correct — name, email, phone, and tags should all be there.
- If tags did not import correctly, you may have had a formatting issue in the CSV. Check that semicolons were used to separate tags, not commas.
- Add them to a pipeline by selecting your imported contacts, then Bulk Actions → Add to Pipeline. Pick the right pipeline and stage to start working them immediately.
