Open the Add Contact Form
The Add Contact button is always one click away from the main Contacts page. Here is how to get there.
- Click Contacts in the left sidebar. This takes you to your full contact list.
- Look at the top right of the Contacts page for the "+ Add Contact" button.
- Click "+ Add Contact." A form panel will slide in from the right side of the screen.
- The form has sections for Basic Info, Contact Details, Additional Info, and Tags. You do not need to fill every section.
- Required fields are marked with a red asterisk. At minimum, Jtek requires a first name, last name, and either an email or phone number.
Fill In Contact Information
The contact form has both required and optional fields. Fill in as much as you know — you can always update the record later.
- First Name and Last Name are required. Use proper capitalization — this is how Jtek personalizes every automated message to this contact.
- Email address — Jtek accepts multiple emails. Click "+ Add Email" to add a secondary address.
- Phone number — format as 10 digits. Jtek will detect the country code automatically for US/Canada numbers. Click "+ Add Phone" to add a cell and a work number separately.
- Contact Source (optional) — select where this lead came from: Website, Referral, Zillow, Open House, etc. This feeds your reporting.
- Address (optional) — useful for real estate agents working geographic farms.
- Date of Birth (optional) — Jtek can send automated birthday messages if this is filled in.
- Custom fields appear at the bottom of the form if you have set them up in Settings.
Add Tags on Creation
Tagging your contact at the moment you add them is the best habit you can build. It keeps your list organized from day one.
- Scroll down to the Tags field in the Add Contact form. It is in the "Additional Info" section near the bottom.
- Click the Tags field and start typing the tag name — for example, "Buyer".
- If the tag already exists, it will appear in the dropdown. Click it to add it.
- If the tag is new, you will see a "+ Create tag: Buyer" option. Click it and Jtek creates the tag instantly.
- Add as many tags as you need — there is no limit. Common tags for real estate: Buyer, Seller, Investor, Referral, Hot Lead, Cold Lead, Past Client, VIP.
- Press Enter or click the "x" next to a tag name in the field to remove it if you added one by mistake.
Assign to a Pipeline
If this contact is an active lead, you can add them to a pipeline opportunity right from the Add Contact form — no need to go to Opportunities separately.
- Look for the "Add to Pipeline" toggle near the bottom of the Add Contact form.
- Toggle it on. A new section will expand with pipeline options.
- Select your pipeline from the dropdown — for example, "Buyer Pipeline" or "Seller Pipeline".
- Select the stage where this lead belongs — for a brand new lead, this is usually "New Lead" or "Contacted".
- Enter an opportunity value (optional) — estimate the deal size (for buyers, this is roughly their purchase price).
- Set a close date (optional) — your estimate for when this deal could close. This feeds your pipeline revenue forecast.
Save and View the Contact Record
After saving, Jtek opens the full contact record. This is the central hub for everything related to this person.
- Click the "Save" or "Create Contact" button at the bottom of the form. The panel will close and the contact record will open.
- The contact record has several tabs at the top: Activity, Notes, Tasks, Appointments, and Opportunities.
- The Activity tab shows a full timeline — every SMS, email, call, note, stage change, and workflow action is logged here in real time.
- Your new contact's information appears in the right-hand panel — name, phone, email, tags, source, and assigned user.
- Send a first message right from this screen using the message bar at the bottom of the Activity tab. Select SMS or Email from the channel selector.
- Add a note by clicking the Notes tab and typing — great for recording what you talked about when you first met them.
