Creating a Calendar

Set up a booking calendar so leads can schedule time with you automatically.

Types of Calendars in Jtek

Jtek offers four calendar types, each designed for a different booking scenario. Choose the right type before you build — it affects how availability is calculated and how bookings are distributed.

  1. Round Robin — Rotates bookings between multiple team members. When a lead picks a time, Jtek automatically assigns the next available team member in the rotation. Ideal for sales teams where any rep can take the call.
  2. One-on-One — Bookings go to a single specific person. The simplest and most common type. Use this for individual agents, consultants, or owner-operated businesses.
  3. Class — Allows multiple attendees per time slot. Use for group webinars, coaching calls, or open house info sessions where many leads can book the same time.
  4. Collective — Requires all team members assigned to the calendar to be free before a slot is shown. Use for panel interviews, multi-person strategy calls, or situations where everyone must be present.

Tip: Most solo agents or small teams start with One-on-One. You can always create additional calendars for specific use cases like group tours or team calls later.

Creating a New Calendar

Once you've chosen your calendar type, the setup is straightforward. Name it clearly so both you and your team can identify it at a glance.

  1. Go to Calendars in the left sidebar — Click the Calendars icon. If you have no calendars yet, you'll see an empty state with a prompt to create your first one.
  2. Click "+ New Calendar" — This opens the calendar creation flow. Select your calendar type on the first screen (see Article 1 above).
  3. Name your calendar — Use a descriptive name that includes the call type and your name if relevant, for example: "Discovery Call — Jesse" or "Free Home Value Consultation." This name appears on the booking page leads see.
  4. Set your available hours — Define which days and time blocks you're open for bookings. You can set different hours per day — for example, Monday–Thursday 9am–5pm, Friday 9am–12pm.
  5. Click Create Calendar — Your calendar is saved and appears in your Calendars list. You'll land on the calendar settings page where you can refine duration, confirmations, and integrations.
Tip: You can create multiple calendars for different purposes — one for discovery calls, one for follow-up calls, one for in-person showings. Each gets its own unique booking link.

Setting Appointment Duration

The appointment duration controls how long each booked slot lasts and how your calendar blocks time. Set it to match the actual length of your calls.

  1. Open your calendar settings — In Calendars, click the calendar you want to edit. Then click the Settings tab.
  2. Find the Duration field — Under the "Appointment" section, you'll see a Duration dropdown. Standard options are 15, 30, 45, and 60 minutes.
  3. Choose a preset or set a custom duration — Select from the preset options, or click "Custom" and type in any length in minutes (e.g., 90 for a 90-minute consultation).
  4. Set a buffer time (optional) — You can add a buffer before or after appointments so you're not booked back-to-back. A 10-minute buffer after each call gives you time to take notes and reset.
  5. Save the setting — Click Save. The booking page will immediately reflect the new slot length — leads will only see time blocks of the correct duration.
Tip: For first-touch discovery calls, 30 minutes is the sweet spot — long enough to qualify the lead, short enough that they'll actually book it.

Configuring Confirmation Settings

Confirmation settings determine what happens the moment a lead submits a booking. You can auto-confirm instantly or require manual approval before the appointment is locked in.

  1. Open your calendar settings — Calendars → click your calendar → Settings tab.
  2. Find the Confirmation section — Look for "Booking Confirmation" or "Approval" settings near the top of the page.
  3. Choose Auto-Confirm or Manual Approval — Auto-confirm instantly locks in the appointment the moment a lead books. Manual approval puts it in a pending state until you approve it from the Calendars view.
  4. Enable confirmation email/SMS — Toggle on the confirmation message. This sends the lead an immediate notification with their appointment details, Zoom link (if applicable), and a calendar invite.
  5. Set a redirect URL (optional) — After booking, you can redirect leads to a custom thank-you page. Use this to deliver a free resource, collect more info, or show a video message welcoming them to the call.

Tip: Auto-confirm is recommended for most use cases — it's instant for the lead and removes friction. Use manual approval only if you need to vet leads before committing to the call.

Connecting Google or Outlook Calendar

Linking your real calendar lets Jtek check your actual availability before allowing bookings. No more double-bookings — if you're busy on Google Calendar, those slots won't show as available in Jtek.

  1. Go to Settings → Integrations — In the left sidebar, click Settings, then select Integrations from the submenu.
  2. Find Google Calendar or Outlook — Both integrations are listed in the Integrations panel. Click the one you use (you can connect both if needed).
  3. Click Authorize and sign in — You'll be redirected to a Google or Microsoft login screen. Sign in with the account your calendar is on and grant the requested permissions.
  4. Select which calendar to check — After authorizing, Jtek will list your available calendars (e.g., "Personal", "Work"). Select the one you want Jtek to read for conflicts.
  5. Test the integration — Block off a time slot on your Google Calendar, then open your Jtek booking page. That slot should no longer appear as available. If it still shows, try disconnecting and reconnecting the integration.
Tip: Jtek also writes new appointments back to your Google or Outlook calendar automatically once a booking is made, so your full schedule stays in one place.
